Charge For No-Shows At Training
 
GENERAL:
The resources the City of Gainesville and GRU have committed to GCU, along with the on-going responsibilities of assessing needs, designing and presenting courses and administering the overall program, is substantial. When employees register for a course and then do not attend, there is an associated cost. That cost can add up to a substantial amount if several people fail to attend.
 
PURPOSE:
This Guideline outlines the process of recovering some of the cost for no-shows from individuals who do not provide adequate notification they cannot attend a training or developmental program/course.
Process:
 
1. If someone cannot attend a training or developmental course, they must notify Learning & Development at 334-5077 at least twenty four (24) hours before the start time of the course, or be charged as a no-show. Supervisors can provide notice in lieu of the employee.
 
2. An amount of $150 dollars will be charged back to the respective department for all no-shows.
 
3. A notice of no-show will be sent to the individual and their respective department head.
 
4. In some cases the department may send another employee as a replacement provided the attendee’s supervisor approves the change, and the replacement individual is required to receive the specific course for their own professional development. Learning & Development will need to approve any replacement.
 
It is understood that there may well be mitigating circumstances when notices of less than 24 hours occur. Operational constraints will be considered on a case-by-case basis. A charge back is intended for those times when no prior communication is provided at all and failure to attend is not due to operational emergencies beyond the control of the respective department.
